This consultation guide you with ideas on how to plan the outdoor education calendar for your school, how to maximize learning experience and how to motivate parents and students. Setting the date
We will revert to your inquiry within 48 hours taking into consideration location, team availability and weather conditions, allowing to offer the highest quality service and maxizing the learning outcomes for your group.
We might also give you a call to find out further details to fully tailor the program to your group or to discuss alternatives.
We have now identified an available and suitable timing in our calendar for your program. At this point the date is not yet confirmed, until the deposit payment is made.
I just wanted to say a big thank you for the experience that you gave our Year 6 students this week. They have been talking non-stop about lighting fires, bouldering, paddle boarding, sleeping in tents etc.. and the amazing food. Our teachers have told me about the outstanding staff and how passionate you are about making your business the best.

Receive the camp logistics package

> Medical inquiry form
> Schedule outline of the program
> Kit List for participants
You now have received all information to help communicate the program to parents and start the sign ups process.

Confirm number of participants & pay deposit to confirm booking (2 months prior to the program)
> 2 months prior to the program
> Confirm estimated number of participants for the program to Blue Pearl via email + meal package required.
> Blue Pearl issues 20% deposit payment invoice based on estimated numbers.
> School settles 20% payment.
> Your booking is now confirmed, the date is booked.

Final settlement (2 weeks prior to the program)
> Confirm final number of participants.
> Blue Pearl issues balance invoice of 80%.
> School settles 80% payment latest 2 weeks before the program.
LOGISTICS PHASE

School shares with Blue Pearl (2 weeks before the event)
> Medical forms, medical list (medical conditions, dietary requirements)
> Split of female and male students attending the camp
> Buses arrival and departure time from camp.
> Names of all school staff attending camp, staying overnight, and camp leader name and direct contact
School and Blue Pearl team meet to discuss next camp for the students based on ability levels, learning outcomes required.
Blue Pearl sends to school after receipt of the above information:
> Detailed schedule of day/s
> Activity group sizes students are to be arranged into prior to camp
> Tent group sizes students are to be arranged into prior to camp
AT CAMP

On the first day of the program
> Blue Pearl meets the school buses at meeting point and drives in convoy to location.
> School staff hands over signed disclaimer & photo consent forms for all students to Camp Director before start of activities.
> Activities kick-off
School and Blue Pearl team meet to discuss next camp for the students based on ability levels, learning outcomes required.
